Privacy Policy

Last updated: 11 August 2026

This Privacy Policy explains how TransformingSports OÜ (registry code 16482917), operating the Transforming Sports platform and related Transforming services ("Transforming," "we," "us," or "our"), collects, uses, shares, and protects personal information when you use our websites, mobile applications, communities, learning services, communications, and other services that link to this Policy (together, the "Service").

1. Who is responsible for your information

Transforming is responsible for personal information used to operate the Service, manage accounts, provide support, secure the platform, and improve our products.

Where an organization provides or manages your access, that organization may separately control information it submits or manages about its members. In those cases, we may process information on the organization's behalf. Questions about an organization's own use of your information should be directed to that organization.

Contact us at info@transformingbball.com if you are unsure who is responsible for a particular use of your information.

2. Information we collect

We collect information in the following durable categories. The exact information depends on how you use the Service.

Account and profile information

This may include your name, email address, authentication details, profile image, country, biography, professional information, social links, preferences, account status, and identifiers assigned to your account. If you sign in through another provider, we receive the information that provider makes available with your permission.

Organization and access information

This may include your memberships, roles, permissions, invitations, access entitlements, organization settings, survey responses, and records used to determine which communities, resources, or services you may access. Organization administrators may provide, manage, export, or view information relating to their members.

Content and communications

We process content you create, upload, send, or interact with, including posts, comments, messages, reactions, votes, survey responses, files, images, videos, links, feedback, and other contributions. We also process related metadata, such as recipients, timestamps, edits, read status, moderation status, and sharing or visibility settings.

Please do not upload personal information about another person unless you have the right to do so. This is especially important for images, video, or information relating to children or athletes.

Learning, activity, and achievement information

We process information about participation and use, such as content viewed or searched, course and lesson progress, quiz activity, downloads, event participation, points, streaks, certificates, badges, rewards, and other engagement records. Some achievements or verification pages may be publicly accessible when the Service clearly indicates this.

Purchase and entitlement information

We may receive transaction and subscription information from payment, checkout, or membership providers, including your name, email address, customer or order identifiers, purchased products, subscription status, billing cycle, and relevant dates. Payment-card details are handled by the applicable payment provider and are not intended to be stored by Transforming.

AI interactions

When you use an AI-powered part of the Service, we process the prompts, queries, feedback, conversation history, and relevant content or context needed to generate a response. This context may include learning materials, transcripts, or other content you choose to use with the AI service. Prompt and search text, together with account and feature identifiers, may also be processed by our contracted analytics and diagnostic providers to measure use and troubleshoot the feature. Do not submit confidential, sensitive, or regulated information to an AI feature unless you are authorized to do so.

Device, usage, and diagnostic information

We automatically receive technical information such as IP address, browser or device type, operating system, app version, language, device or installation identifiers, push-notification tokens, timestamps, pages or screens viewed, referring links, feature interactions, request metadata, crash reports, performance data, and security or fraud signals.

Where enabled, analytics and diagnostic tools may record interaction data or a privacy-filtered replay of a session to help us understand errors and improve usability. We take steps to mask or exclude sensitive fields where supported, but you should not enter sensitive information where it is not requested.

Cookies, local storage, and similar technologies

The web Service uses cookies and similar storage to maintain sessions, remember preferences, secure requests, measure usage, and diagnose problems. The mobile Service stores authentication material securely and may retain preferences, selected offline data, and cached content on your device. Files you export or save outside the app may remain on your device after logout or account closure.

Device permissions

If you choose to enable them, the mobile Service may use device permissions to select or save photos and files, send notifications, or support sharing. You can manage these permissions in your device settings. We do not access a permission unless it is needed for a feature you choose to use.

Support and information from partners

We process information you provide when contacting support, responding to surveys, reporting an issue, or communicating with us. We may also receive information from organizations, payment and membership providers, authentication providers, connected services, and other partners where permitted by law.

3. How we use information

We use personal information to:

  • provide, personalize, and maintain the Service;
  • authenticate users and manage accounts, memberships, permissions, purchases, and entitlements;
  • host, deliver, moderate, and share content according to its selected audience;
  • provide learning, communication, community, achievement, and AI-powered experiences;
  • process transactions and administer subscriptions, refunds, and access;
  • send service, security, support, and notification messages;
  • measure use, troubleshoot errors, develop improvements, and evaluate new functionality;
  • protect users, organizations, and the Service from abuse, fraud, security threats, and violations of our Terms;
  • comply with law, enforce agreements, resolve disputes, and establish or defend legal claims; and
  • send marketing communications where permitted, which you can opt out of at any time.

4. Legal bases for processing

Where the UK GDPR, EU GDPR, or similar law applies, we rely on one or more of these legal bases:

  • Contract: processing needed to provide the Service you requested or to take steps before entering a contract.
  • Legitimate interests: operating, securing, improving, and understanding the Service, supporting users, administering organizations, and protecting our rights, where those interests are not overridden by your rights.
  • Consent: where we ask for permission, including for certain communications, device permissions, or technologies where required. You may withdraw consent at any time.
  • Legal obligation: processing needed to comply with tax, accounting, consumer, safety, law-enforcement, or other legal requirements.
  • Legal claims and vital interests: processing needed to protect a person or establish, exercise, or defend legal rights in appropriate cases.

5. AI-powered services

AI-generated outputs are produced using automated systems and may be incomplete, inaccurate, or inappropriate. We use relevant inputs and context to generate and safeguard responses, operate the feature, diagnose problems, and improve the user experience. We may send this information to contracted AI infrastructure providers acting on our behalf.

AI outputs are not professional, medical, legal, financial, safeguarding, or emergency advice. Do not rely on them as the sole basis for an important decision. We do not use AI features to make decisions that produce legal or similarly significant effects about you without appropriate human involvement and safeguards.

6. How information is shared

We share personal information only as reasonably necessary for the purposes described in this Policy:

  • Other users and the public: according to the audience, community, profile, sharing, or verification settings associated with content.
  • Organization administrators: to manage membership, access, moderation, support, participation, and reporting within their organization.
  • Service providers: companies that provide hosting, databases, storage, video delivery, authentication, analytics, diagnostics, communications, AI processing, payments, workflow automation, customer support, and app-distribution infrastructure.
  • Connected services: when you choose to connect, embed, import, export, or share information with another service.
  • Professional advisers and authorities: where reasonably necessary for legal, security, audit, insurance, or compliance purposes.
  • Business transfers: in connection with a merger, financing, acquisition, reorganization, insolvency, or sale of all or part of our business, subject to appropriate safeguards.

We do not sell personal information for money. We do not use personal information for third-party cross-context behavioural advertising. If our practices materially change, we will update this Policy and provide any choices required by law.

7. Visibility and organization administration

The Service is designed for shared communities. Your name, profile information, activity, achievements, and content may be visible to other members or administrators depending on context and settings. Direct or restricted communications are limited to their intended participants and authorized administrators or personnel, except where access is necessary for support, security, moderation, or legal compliance.

Organization administrators may manage access, view participation information, moderate content, and export information relating to their organization. Features described as anonymous may hide identity from other members while still retaining information needed by Transforming or an authorized administrator to operate, secure, or moderate the Service.

8. International transfers

We and our service providers may process information in countries other than the one where you live. Where required, we use recognized safeguards for international transfers, such as adequacy decisions, standard contractual clauses, contractual commitments, and supplementary security measures. You may contact us for more information about safeguards relevant to your information.

9. Retention and deletion

We retain personal information only for as long as reasonably necessary for the purposes described in this Policy, including while your account is active, while an organization needs records to administer the Service, and as required for security, backup, dispute-resolution, tax, accounting, contractual, or legal obligations.

Retention periods vary according to the nature and sensitivity of the information, the reason it was collected, the risk of harm, and applicable requirements. When information is no longer needed, we delete it, de-identify it, or securely isolate it until deletion is possible. Some records, such as transaction, certificate, moderation, audit, or legal records, may be retained after account closure where necessary. Content shared with others may also remain where needed to preserve a conversation or record, but we may remove or de-identify the associated profile.

You can close your account from account settings. To request deletion of associated personal information, including if you cannot access your account, follow the instructions on our Account Deletion page or contact us. We may verify your identity before completing a request.

10. Security

We use administrative, technical, and organizational measures designed to protect personal information. These include access controls, authentication, authorization rules, encryption in transit, protected storage, monitoring, rate limiting, and restricted delivery of private media. No service can guarantee absolute security, so you should use a strong, unique password where applicable and protect access to your device and account.

11. Your choices and rights

Depending on where you live, you may have the right to access, correct, delete, restrict, object to, or receive a portable copy of personal information, and to withdraw consent. You may also have the right to appeal a refusal or complain to a data-protection authority.

You can manage certain profile information, communications, notifications, permissions, and account settings directly in the Service. Marketing emails include an unsubscribe option. Device permissions and push notifications can be changed in your device settings.

To exercise a legal right, contact info@transformingbball.com. We may need to verify your identity and authority. If information is controlled by an organization, we may direct your request to that organization or assist it in responding. Rights are subject to applicable exceptions and are not absolute.

Residents of jurisdictions with additional privacy rights, including certain US states, may make the same requests through this contact. We will not discriminate against you for exercising a privacy right.

12. Children

The Service is intended for adults and is not directed to children under 18. Children must not create accounts. Adults who upload or share information about children are responsible for having an appropriate lawful basis, permission, and safeguarding arrangements. If you believe a child has provided personal information through the Service without appropriate authorization, contact us promptly.

13. Third-party services

The Service may contain links, embeds, or connections to services that we do not control. Their privacy practices are governed by their own policies. We encourage you to review them before providing information or enabling a connection.

14. Changes to this Policy

We may update this Policy when our practices, services, or legal obligations change. We will update the date above and, where a change is material, provide an additional notice through the Service or another appropriate channel. Earlier versions may be requested from us.
